Who we are and what this covers
FieldKrow LLC ("FieldKrow", "we") makes FieldKrow, software that home-service businesses use to take bookings, run jobs, text customers and get paid. This policy covers fieldkrow.com, the FieldKrow web app at app.fieldkrow.com, the booking, payment and customer pages we host for businesses, our texts and calls, and our support line.
It talks about two groups of people:
- Account holders: businesses that use FieldKrow and the owners, office staff and crew members who sign in.
- Their customers: people who book with, get texts from, or pay a business that uses FieldKrow. The business decides what it collects about its customers and how it uses it. We handle that information for the business, on its instructions. If you are a customer, contact the business first with questions about your information.
What we collect
- Account details: business name, address and time zone; names, email addresses and phone numbers of the people who sign in; their role; the plan.
- Jobs and customers: what a business enters or receives through its booking form, such as customer names, phone numbers, email addresses, service addresses, appointment times, job notes, estimates, invoices and payment records.
- Photos: job photos you take or choose in the app. The app uses your camera or photo library only when you tap to add a photo, and only after you allow it. Before a photo is uploaded, the app shrinks it and saves a new copy on your device, which removes hidden details such as the location where it was taken.
- Texts and calls: phone numbers, message content, delivery status and opt-in and opt-out records for texts sent through FieldKrow; who called whom, when and for how long for calls through a business number.
- Voicemail: when someone leaves a voicemail on a business number or on our support line, we keep the recording, the caller's number and a written transcription.
- AI phone assistant (only when a business turns it on): if the business has the automated phone assistant switched on, it answers a call for the business and asks the caller for their name, job address, what they need and a good callback time. We keep a written transcript of the call and a short summary in the business's inbox.
- Payments: amount, tip, status and the payment processor's reference. Card numbers go straight to the payment processor (Stripe). FieldKrow never sees or stores them.
- Notifications: if you turn on notifications, a token from your browser or phone that lets us deliver them, and your notification choices. Notifications are written to be safe on a lock screen: they can show a customer's first name, but never a phone number, address, message text or amount.
- Support: what you write or say to our support team, including chat messages, emails, web messages and voicemails left on 1-888-602-KROW.
- Technical information: error logs (with phone numbers and email addresses masked), the device and browser type, and network addresses used to protect sign-up forms from abuse. The app stores some information on your device so you stay signed in and can see today's jobs without signal.
We do not show ads, and we do not track you across other companies' apps or websites.
The app asks for your location only in these cases, and only after you tap something:
- Best route from my location: when you tap it, the app reads your location once to plan that route. It goes to our route planner (Google) and into the Google Maps directions link. FieldKrow does not store it.
- In-person card payments: for Tap to Pay or a Bluetooth card reader, the app asks for your location, which Stripe uses for fraud checks.
How we use it
- To run FieldKrow: bookings, jobs, schedules, texts, calls, emails, payment links and records.
- To send the notifications you turned on.
- To answer support requests and fix problems.
- To bill for paid plans.
- To keep accounts secure and stop fraud and abuse.
- To follow the law and carrier rules for texting.
- To improve FieldKrow.
We do not sell personal information.
AI-assisted support
When you contact our support team (chat, email, web message or a voicemail on 1-888-602-KROW), we may send the text of your message, or the voicemail transcription, to Anthropic, our AI service provider. It suggests a topic, an urgency and a draft reply. A FieldKrow staff member decides what to do; the AI does not send replies or change your account on its own. We mask phone numbers and email addresses in what we send. Anthropic processes this information only to provide this service to us.
The same applies to the AI phone assistant: when a business turns it on, what the caller says is turned into a transcript, and we may send the words to Anthropic to write the summary. Anthropic processes this information only to provide this service to us. The business decides whether to use the assistant and is responsible for any notice to its callers that the law requires.
Who we share it with
We share information only with companies that help us run FieldKrow, under contracts that limit how they use it:
- Supabase: hosts the app's data (database, sign-in, file storage and server functions).
- Vercel: hosts the FieldKrow web app.
- A2 Hosting: hosts this website, fieldkrow.com.
- Twilio: texts, calls, voicemail recording and transcription.
- Stripe: card payments and payouts. For in-person card payments the app asks for your location, which Stripe uses for fraud checks.
- Resend: email delivery.
- Cloudflare: bot checks on sign-up forms (Turnstile).
- Google: maps, address lookup and route planning, including your location once when you tap Best route from my location.
- Apple and Google: delivering notifications to phones and browsers.
- Anthropic: AI-assisted support and call summaries, as described above.
- GitHub: storage of our encrypted backups.
We may also share information:
- with the business that collected it, if you are one of its customers;
- when the law requires it, or to protect people's safety or our rights;
- if FieldKrow LLC is merged or sold, with the new owner, who must keep following this policy.
Text messages
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Opt-in data and consent are shared only with the providers and carriers that deliver the messages. Reply STOP to any text to stop texts from that number, or HELP for help. Details are in our SMS terms.
How long we keep it
- Business records (jobs, customers, photos, estimates, invoices, payments, texts, call logs, voicemail recordings and transcriptions): kept while the business account is active. Nothing is deleted on a timer.
- Book a Demo sandboxes (sample data only): closed when the demo expires and deleted, with the demo login, a day later.
- Unconfirmed sign-ups: if the email address is never confirmed, the login is deleted after 24 hours.
- Support messages and voicemails left for FieldKrow support: kept while your account is active, and deleted when you ask us.
- Voicemail at Twilio: Twilio's copy of a recording is deleted once we have stored ours, usually within an hour.
- Text opt-outs: kept on the business's customer record, so that number is not texted again.
- Error logs: deleted after 90 days.
- Our encrypted backup copies: each is deleted 30 days after it is made.
Deleting your account
You can ask to delete your FieldKrow login by emailing [email protected] from the email address you sign in with.
- Your login is removed after a 7-day grace period. Signing in again during those 7 days cancels the deletion.
- When it is removed, so are your profile, your access to every business you belonged to, your job assignments, your notification settings and your registered devices.
- Records a business must keep, such as jobs, payments and invoices, stay with that business. They are no longer linked to you.
If you are the only owner of a business that has other members, make another member an owner first. Details are on Delete your account.
If you are a customer of a business that uses FieldKrow, ask that business to delete your information. You can also email us and we will pass your request to the business.
Your choices
- Texts: reply STOP to stop, HELP for help.
- Notifications: turn them off in the app under Settings, Notifications, or in your phone or browser settings.
- Camera, photos and location: you can take back the permission in your phone's settings at any time.
- To see, correct or delete your information, email [email protected] from the address you sign in with. We confirm it is you, then act on it. We may need the business's permission to act on records that belong to the business.
Security
Information is encrypted while it travels and in our backups. Each business can see only its own data, and staff access is limited to what a role needs. No system is perfectly secure, so we can't promise that information will never be exposed.
Children
FieldKrow is for businesses and is not meant for children under 18. We do not knowingly collect information from them.
Changes to this policy
We post changes on this page with a new effective date. If a change is important, we also email account owners before it takes effect.
